Academic Affairs Office
Background
The Academic Affairs Office is one of the nine offices under the management of Souphanouvong University. It was established at the same time as the the university itself on 4th November 2003
The office’s roles and functions
The Academic Affairs Office (AAO in short) is an adminstrative mechanism supporting the deans with academic affairs and teaching and learning activities. It is the focal points in connecting the faculties within the university with stakeholders regarding to the academic matters.
Director and Deputy Directors
- Educate staff within the office on politacal ideology, dispositions and rules of laws
- Create academic strategic plan of the university
- Accumulate and integrate academic development plans and projects from faculties
- Periodically assess teaching and learning of each faculty
- Support, monitor and audit the implementation of teaching and learning plans and programmes of the faculties
- Manage enrollment documents, student enrollment, enrollment of graduate students and student statistics of the university
- Issue and manage student ID cards, issue temporary certificates for students, and check the content of certificate and report to the president
- Define conditions for student transfer and suspension and report them to the president for a consideration
- Search and develop curriculula of the university so that they are aligned local and international contexts
- Manage and utilise the budget, vihecles and the assets of the office based on the rules of laws of the government and the university
- Report student and teacher statistics, teaching and learning situations of each faculty to the president regularly
- Regularly report the president the implementation of academic plans and projects of each faculty
- And perform other activities assigned by the university high management
Rights
- Propose academic plans and projects from faculties
- Propose plans for quality assurance of teaching and learning and curricula development
- Propose plans for protocol and regulation improvement regarding to academic affairs
- Report student statistics to the president constantly
- Propose wellfare policy for the staff working in the office to the president
- Participate in the processes of selecting staff for academic positions
- Participate in equipment for academic affairs tendering
- Monitor teaching and learning activities of each faculty and report them to the university high management
- And perform other activities assigned by the university high management
Responsibilties and rights of the Enrollment and Qualification Division are as below:
Enrollment Section
- Enroll students
- Record new studets’ information and summarise student statistics
- Report the exsisting students
- Support students in enrolling for each courses, enroll students whose suspensions have ended, support students who want to regain their student status and inform them their status
- Receive and proceed requests concerning the section like: students dropping out of the university, suspension and tranfer and changing their names and surnames and dates of birth
- Gathering information about the students
- Collecting student statistics
- Issue student ID cards
- Manage student enrollment document of the university
- And perform other activities assigned by the office management
Qualification Section
- Integrate and check the lists if the last year students in order to propose for temporary certificates and deplomas for them
- Check the formate of students’ final reports
- Print the deplomas for those students who have graduated
- Manage final report writing handbook
- And perform other activities assigned by the office management
The responsibilities and rights of the Curriculum Management and Education Quality Assurance Division are as below:
Curriculum Management Section
- Create teaching and learning development plans of each programmes
- Monitor, audit and report the circumstances of the utilisations if the programmes of the university
- Monitor and report about the students who receive scholarships
- Define regulations on student insternship
- And perform other activities assigned by the office management
Education Quality Assurance Section
- Manage teaching and learning of each programme of the university
- Make regulations on education quality assurance for the university
- Monitor and report teaching and learning
- Collaborate with teaching and learning sections in faculties to create tools for education quality assurance for the university
- Define education calendar
- Monitor education calendar implementation of each faculty
- Collect and manage teaching plans of each faculty
- Manage student and homeroom teacher handbook
- And perform other activities assigned by the office management
The responsibilities and rights of the Administration Division are as below:
Andmonistration Section
- Dealing with incoming and outgoing documents
- Receive and send requests concerning the office
- Integrate weekly, monthly, quarterly, biannual and annual reports
- Give out student ID cards and student shirt label
- Wecoming guests coming for services from the office
- Manage incoming and outgoing documents
- And perform other activities assigned by the office management
Management section
- Manage the assets and equipment of the office
- Create plans for fixing office equipment
- Maintain order with the office
- Record the statistics of the staff working in the office
- Manage staff, policies and staff welfares.
